What services are provided by the SDSURF payroll department?

SDSU Research Foundation's payroll department provides payroll services for all SDSURF employees including all project, KPBS, and Extended Studies as well as employees of the Campanile Foundation. Services provided include:

  • Process time reports and print payroll checks
  • Distribute all payroll checks
  • Retain employee payroll records
  • Maintain and transmit direct deposit information
  • Monitor and implement payroll tax law changes
  • Process stop payment and reissue of lost or stolen paychecks
  • Process and distribute all federally mandated employment documents (W-4, W-2, 1042-S, etc.)
  • Assist foreign nationals with paperwork required to be paid and taxed appropriately

What do I need to do to get paid?

Federal law requires that all new employees must sign-in with the SDSURF human resources department ON or BEFORE the FIRST day of work. You must report to Human Resources to complete the necessary paperwork in order to be paid. Refer to HR New Hires for additional information.


How often will I get paid?

SDSURF employees are paid on a semi-monthly basis. For work performed between the 1st and 15th of a month, a check is issued on the 25th (or first working day thereafter) of that month. For work performed between the 16th and the end of a month, a check is issued on the 10th (or first working day thereafter) of the following month. On rare occasions there may be a slight change in pay dates due to bank and/or SDSURF holidays. How do I get my payroll check?

Your payroll check will either be mailed to you or transmitted electronically to your account(s). We highly recommend direct deposit to ensure that your money is in your account(s) on payday.


I think my payroll check is incorrect. What should I do?

Contact SDSURF payroll department at 619-594-6971 or SDSURF Payroll whenever you have questions about your payroll check. Payroll staff will review your payroll check and/or time reports with you to ensure that you have a clear understanding of your pay.


Do I have to fill out time reports?

Generally, all SDSURF employees are appointed to an "employee class" and must complete time reports. The only employee class exempt from this requirement is the OL Faculty employee class and they do not receive time reports. If you are not in the OL employee class, you will receive a time report and you must complete and submit it each and every pay period. Refer to Time Report Questions and Time Reporting Instructions for additional information.


What if I work for more than one project or department?

If you are working part-time in more than one project or department, you will receive a time report for each position. If you are eligible for overtime and you are working multiple jobs, you will need to consider all hours worked as if they were a single job and add the overtime hours to the appropriate time report. Refer to "Am I eligible for overtime?" question below and Time Reporting Instructions for additional information.


Am I eligible for overtime?

Eligibility for overtime is determined by your assigned "employee class". You may locate your employee class in the top middle portion of your time report. Refer to Time Reporting Instructions to determine if your employee class if eligible for overtime. Also refer HR Compensation policy for additional information.


When do I have to notify the Payroll department with address and personal information changes?

Notify the Payroll department immediately whenever you move in order to avoid your paycheck or year-end tax forms from getting lost in the mail. Download and complete a Address Change Form. Anytime there is a change in your taxable status, you may wish to complete a new W-4 form and/or DE-4 form. A change in tax status could result from a marriage, a divorce, the birth of a child, the loss of a deduction, change in residency, etc. You may fax to 619-594-3177, email to SDSURF Payroll, or bring your newly completed tax forms to the Payroll department.


What do I do if my payroll check is lost or stolen?

Immediately contact SDSURF Payroll department at 619-594-6971. The Payroll department will place a stop payment order with our bank. Once confirmation has been received from the bank, a replacement check will be issued to you no earlier than 3:00 pm the following business day. You may avoid the possibility of delayed payment by signing up for direct deposit. Refer to Direct Deposit Questions for additional information.


What do I do if I don't receive my payroll check in the mail?

Normally, an employee must wait five (5) business days from the date the check is mailed before requesting a replacement check. This allows time for the check to be returned to the SDSURF Payroll department if USPS was unable to deliver. Contact SDSURF Payment department at 619-594-6971 to arrange for pick-up of returned check or to initiate a replacement check if it has not been returned. You may avoid the possibility of delayed payment by signing up for direct deposit. Refer to Direct Deposit Questions for additional information.


Why didn't I receive a payroll check?

If you are an hourly employee, check with your supervisor to make sure that your time report was submitted to SDSURF Payroll by the due date. If it was received after the due date, you will receive payment for the late time report hours on the next regularly scheduled pay date. If you are a salaried employee, check with your supervisor to make sure that all paperwork has been completed to initiate your employment. If the paperwork was late, you will receive retroactive payment on the next regularly scheduled pay date.


What are the official SDSURF holidays?

Refer to SDSURF Holiday Schedule for annual list of holidays. Also note that eligibility for paid holidays is determined by your assigned "employee class". You may locate your employee class in the top middle portion of your time report. Refer to Time Reporting Instructions to determine if your employee class is eligible for paid holidays.
