Form W-2 reflects all taxable wages you received from SDSURF during the calendar year and all taxes withheld from those wages. The form serves as an annual report that enables you to file your personal income tax return with the Internal Revenue Service (IRS). Form W-2 reports only wages paid during the year, regardless of when they were earned; that is, it does not include amounts earned but not paid until the next calendar year. SDSURF mails out W-2 forms to all employees no later than January 31 of each year.
The IRS requires employers to report wages on Form W-2 in the year in which the wages were paid. Wages for the period December through 31 are paid in January and therefore reportable in the following calendar year.
Form 1042-S reflects wages that are protected by tax treaty and are received from SDSURF during the calendar year. In certain cases, you may receive multiple 1042-S forms and/or a W-2 no later than January 31 of each year.
If you do not receive your year-end tax forms, call the Payroll department at 619-594-6971 or email us at SDSURF Payroll. The forms may have been returned by the post office as undeliverable and will be available immediately for pick-up or sent out again to your correct address. If you need replacement copies, complete a Request for Duplicate IRS Form W-2/1042-S and fax or bring the form to the Payroll department. A duplicate will be provided to you at no cost. Duplicates will be available after February 15.
